We’re making some updates to how we manage bookings at Needham Village Hall. These changes will help us share our administrative workload more evenly among volunteers and provide a more reliable service for all our hirers.
The actual bookings, existing and future, are unaffected — you’ll simply notice a few small changes in how we communicate and handle enquiries.
What’s Changing
📞 New Telephone Number:
For all Village Hall business, please use 0300 102 3267.
(‘0300’ numbers are for charities and cost the same as calls to any UK landline or mobile.)
👷 Duty Wardens:
If you have an issue with the hall or access, please call 0300 102 3267, Option 1.
A rota of Duty Wardens will cover this line, so please use it instead of contacting the Bookings Manager directly.
🗓️ Bookings Team:
Our bookings process is changing to allow support by a team of volunteers rather than one person.

- You’ll still deal with a real person — the name behind each message may vary, but they will always make it clear who you are dealing with.
🌐 New Website & Online Calendar
We’re now using Hallmaster, a well-established booking system widely adopted by other UK village halls in partnership with ACRE (Action with Communities in Rural England). By default, bookings appear as Private. Public events (like yoga or community classes) can include a short description and contact details if you wish.
Privacy and Data Protection
We’ve introduced a new Privacy Policy to ensure full compliance with UK data protection regulations. It explains what data we hold, how we process it, and your rights. Your information will not be shared with anyone other than our system providers: Microsoft (for email and file storage and Hallmaster (for bookings).
Making this happen
The whole Village Hall Committee are working hard to make the changes. Claire Cropley in particular is working closely with Nick Phillips, the Secretary to make this transition smooth and positive. If you have any questions or feedback, please contact either of them.
